Ten easy steps to implement project management based on MS Project Pro

The desire to direct the company to achieve goals, implement new ideas, give the team focus, systematize all initiatives through the implementation of projects, which means that many companies have the introduction of project management. Having started the implementation of this task, faced with gaps, it becomes clear that the systematization and implementation of project management is not an easy process and without experienced "experienced" in practice is almost impossible to implement. Even due to the fact that when faced with difficulties, motivation is lost, and therefore interest in continuing.

In my opinion, the minimum, but at the same time sufficient set of steps to implement project management based on MS Project Pro at the first stage, will help everyone to focus on the task at hand and at the same time will allow to move with a guaranteed result after each step.

Himself went this way several times. Defined ten simple steps to systematize the implementation of project management in a company using MS Project Pro. This is what I share with you below.

  1. Appoint a person responsible for project management in the company. A company employee who understands the corporate environment well, is informed about the company's strategy, ideas, projects, should be assigned to this role. Authoritative enough, sociable, with Excel skills (would be enough).
  2. Install MS Project Pro. You can install a trial version of MS Project Pro from the official Microsoft website.
  3. Form a portfolio of company projects (https://pm-way.com/materials/material/show/102). Enter the names of all projects of the company in the "Title" column.
  4. Indicate the timing of the company's projects (https://pm-way.com/materials/material/show/96). In the Duration column, indicate the duration of the projects. In the column "Beginning" the start date of the project, if the project has already started the actual start date, if it has not yet started, then indicate the date when you plan to start the project.
  5. Specify deadlines for projects (https://pm-way.com/materials/material/show/97). On the "Additional" tab in the "Task Details" window in the "Deadline" field, specify the date by which the company management expects the completion of the project.
  6. Indicate "Types of projects being implemented" (https://pm-way.com/materials/material/show/104). Insert a column titled "Project Type" in which to specify the type of project.
  7. Decompose projects into top-level tasks (https://pm-way.com/materials/material/show/92). Decompose the project into 5-10 main tasks (maximum 20) and establish links between them. In this way, you will form the project schedules.
  8. Indicate who is responsible for project tasks. Insert the column “Responsibles” and indicate in it the name of the person responsible for the implementation of project tasks. A responsible person should also be appointed for the project - an employee of the company who will be responsible for the implementation of the entire project.
  9. Include actual costs for tasks. Insert a Cost column and enter the cost for each task in the project. MS Project Pro will calculate the total costs of the project itself.
  10. Indicate the fact of completion of the project tasks (https://pm-way.com/materials/material/show/162). Save the project baseline, and then set the project to complete on the last Sunday.

It remains for the person responsible for project management to regularly indicate the fact of completion of project tasks and update project schedules. This should definitely be done once a week. In the "Report" section, you can create a report on the implementation of the project portfolio (https://pm-way.com/materials/material/show/155) and regularly submit it to the company's management.

The implementation of these first 10 steps will allow you to systematize projects in the company, determine who is responsible for them, and set the deadlines and costs for their implementation. Also, allow the company's management to see the real situation on all projects of the company in the reports.
